ORGANIZATIONAL SUMMARY:
The Port Townsend Marine Science Center (PTMSC) is an educational organization devoted to the mission: Inspiring conservation of the Salish Sea. PTMSC achieves this mission through three core competencies: 1) exceptional visitor experiences in our two exhibit buildings at Fort Worden State Park, 2) extensive lifelong education programs for all ages, and 3) a wide range of citizen science research projects. POSITION
PURPOSE:
The Volunteer Coordinator is the lead staff member responsible for the management of all aspects of the PTMSC volunteer program, including recruitment, training, placement, retention, and recognition of volunteers, as well as proposing and carrying out the volunteer-related goals of the current strategic plan. This position involves daily contact with potential and current volunteers. The Volunteer Coordinator must also work closely with the other PTMSC staff to recruit, place, and train appropriate volunteers based on organizational needs.
Compensation Salary commensurate with qualifications. This position is projected to be fulltime and is expected to occasionally work weekends, holidays, and some evenings. Requirements:
ESSENTIAL FUNCTIONS OF THE POSITION
? Recruit new volunteers using a variety of methods, including but not limited to hosting tables at outreach
events, distributing flyers, posting on social media, speaking to local community groups, etc.
? Schedule and lead monthly volunteer orientations, including following up with all interested individuals in a
timely manner.
? Assess individual volunteer training needs and arrange appropriate individual and/or group trainings.
? Develop, schedule, and lead volunteer trainings in collaboration with the Program Director, Education
Programs Coordinator, and the Citizen Science Coordinator.
? Review volunteer requests from other staff to support the various areas of operations, including visitor
service areas, exhibits and education, special events, development, and marketing/communications.
? Assign and schedule volunteers in the PTMSC exhibits, for education and public programs, and for ongoing
and special projects as they arise.
? Maintain accurate records on all volunteers, including managing of the volunteer database to track activities
and hours, reporting volunteer hours on a monthly basis, and calculating volunteer statistics regarding hours
worked, tasks, volunteer retention, etc.
? Devise strategies to recognize volunteers on a regular basis and organize volunteer recognition program
including twice-yearly volunteer gatherings.
? Develop volunteer enrichment programs by organizing and scheduling volunteer field trips, brown bag
lunches, and other programs.
? Collaborate with marketing staff to create weekly Volunteer Update email and design and update volunteer
brochures, flyers, training materials and other similar literature.
? Develop and maintain volunteer space and supplies, including bulletin boards, access to volunteer log
program, cupboards, and hospitality supplies.
? Develop and maintain relationships with other volunteer organizations within the area.
? Develop and manage volunteer policies, procedures, and standards of volunteer service.
? Evaluate all aspects of the volunteer program to ensure effectiveness and to recommend/implement changes
as appropriate.
? Develop and maintain volunteer service descriptions for each volunteer assignment.
? Work closely with the Citizen Science Coordinator to recruit, train, and schedule volunteers for the various
ongoing citizen science projects.
? Regularly document volunteer activities with reports, pictures, and/or videos.
? Provide ongoing support and guidance for volunteers, including acting as a single point of contact for
communications, conferring with volunteers to resolve grievances and promote cooperation and interest,
and ensuring communication between staff and volunteers is effective and frequent.
? Assist with the organization of volunteers for the Tides of March auction by attending auction planning
meetings as needed to stay abreast of volunteer needs, recruiting and organizing volunteers based on
defined needs for the auction, developing a schedule for volunteer activities during auction, supervise the
volunteers during the event, and assist at the auction as needed.
? Assist with and if necessary, recruit volunteers for, other events such as lectures, outreaches, and
development and marketing events.
? Oversee management of the gift shop by supervising the volunteer gift shop manager, training greeters and
cashiers, ensuring the merchandise offered support the PTMSC mission, and reviewing/revising gift shop
procedures and reporting in consultation with other staff.
? Mentor and supervise the Natural History Exhibit Educator and Volunteer AmeriCorps member.
? Work with the Program Director to develop annual budgets & priorities for the volunteer program and gift
shop.
? Assist with programs and conduct tours as needed or requested.
? Other duties as assigned by Program Director.
DESIRED QUALIFICATIONS
Education and Experience
? At least one year of experience in a customer service and/or volunteer coordinator position, preferably in a museum or nonprofit
setting.
? At least one-year of supervisory experience.
? Computer experience in database management and spreadsheet programs, including the ability to run reports and export
data.
? Bachelor’s degree required. Degree in marine or environmental science preferred, but not necessary.
Required Skills and Abilities
? Knowledge of good customer service principles, excellent interpersonal skills and the ability to work well with a variety of
people from various backgrounds and cultures.
? Demonstrated ability to provide excellent customer service and the ability to motivate volunteers to do the same.
? Ability to develop, train, and motivate volunteer staff, as well as mentor and/or conduct corrective action as needed in a
constructive and professional manner.
? Ability to promote teamwork and collaboration.
? Must be a self-directed, creative problem solver with excellent follow-through.
? Ability to communicate effectively verbally and in writing to both groups and individuals.
? Excellent organizational skills.
? Strong ability to focus on a variety of tasks and follow-up as required.
? Ability to effectively work independently and with teams on multiple, simultaneous, and diverse tasks.
? Outstanding attention to detail and the ability to be proactive in planning and scheduling.
? Must be able to effectively handle challenging guest relations issues and/or volunteer staff issues with diplomacy and tact
while maintaining organizational policies and procedures.
? Flexibility to modify work schedule as needed, including occasional weekends.
? Some experience and knowledge in engaging a variety of audiences with marine or environmental content.
